A request often slows down between teams. One person has finished a task, but the next person cannot see the record, does not know it is ready or needs information that was never collected.

Name the next owner

At each stage, ask who receives the work and what they need to act. A department name alone may be too broad. The process needs a role, a defined queue and a way to identify the request.

Carry the context forward

A reviewing team should be able to understand the request without asking the applicant to repeat the same information. Documents and decisions need to remain connected to the record, with access appropriate to each role.

Include the return route

A request for more information is a workflow step. Define how it reaches the applicant, how the reply is attached and how the work returns to review. This is often where a clear service becomes a confusing series of messages.
